This policy explains what information Brainnotes may collect, how it is used, and how to contact the operator about privacy-related questions.

What information does the application obtain and how is it used?

User-provided information

Brainnotes may collect information you provide when you download, register for, or use the application. Registration is not mandatory, but some features may not be available unless you create an account. Information you provide may also be used to contact you with important notices, service updates, or relevant product information.

Collection of uploaded content and AI processing

Brainnotes processes content you upload or submit, including PDF documents, audio recordings, images, written notes, and YouTube links. This content is used exclusively to provide the application's core features: generating summaries, structured notes, flashcards, quizzes, and AI-assisted study interactions.

To deliver these features, Brainnotes may send your uploaded content to third-party artificial intelligence services operated by OpenAI, L.L.C. andGoogle LLC (Gemini). The following types of data may be transmitted: text extracted from PDFs, transcriptions of audio recordings, image-based text, written notes, and YouTube video metadata or transcripts. No content is shared with these providers for any purpose other than processing your specific request — it is not used to train or improve their AI models, and it is not sold or shared for advertising.

Before any of your content is sent to an AI provider, the app will ask for your permission through a clear in-app prompt. You may decline, in which case AI-powered features will not be available. You can change this preference at any time in the app's settings.

Uploaded content is transmitted using industry-standard encryption. Both OpenAI and Google maintain security practices and privacy protections that provide a level of data protection equivalent to the safeguards described in this policy. Content sent to AI providers is not retained by them longer than necessary to fulfill the processing request, and is subject to their respective data processing terms and privacy policies.

Third-Party AI Service Providers

The following AI service providers may process your uploaded content on behalf of Brainnotes. Each provider has committed to data protection standards consistent with this Privacy Policy:

  • OpenAI, L.L.C. — Processes text, document content, and transcriptions to generate summaries, notes, flashcards, and quiz questions. OpenAI does not use content submitted via the API to train or improve its models.

  • Google LLC (Gemini) — Processes text, document content, and transcriptions to generate summaries, notes, flashcards, and quiz questions. Per Google's API terms, customer data is not used to train or improve Gemini foundation models.

Automatically collected information

Brainnotes may automatically collect certain technical information, including your device type, device identifiers, IP address, operating system, browser type, and general usage information about how you interact with the app.

Does the application collect precise real-time location information?

The application may collect approximate location information from your device to support localized features, analytics, and service improvements.

  • Geolocation services may be used to support personalized or location-relevant experiences.
  • Aggregated location data may be used to understand usage patterns and improve the app.
  • Anonymized location data may be shared with trusted service providers that support the app.

Do third parties see or have access to information obtained by the application?

Aggregated and anonymized information may be shared with external services to help operate, analyze, and improve Brainnotes. Personal information may also be disclosed when required by law, to protect rights or safety, or to trusted providers acting on behalf of the app operator under appropriate confidentiality and data-handling obligations.

You can stop all information collection by uninstalling the application using the standard uninstall process available on your device or through the app marketplace.

Data retention policy

User-provided data may be retained for as long as you use the application and for a reasonable period afterward. Automatically collected information may be retained for up to 24 months and may then be stored in aggregated form. If you want your user-provided data deleted, contact ademolab91@gmail.com. Some information may need to be retained if it is required for the application to function correctly or to comply with legal obligations.

Children

Brainnotes is not intended to knowingly solicit data from children under the age of 13. If you believe that a child under 13 has provided personal information through the app, please contact ademolab91@gmail.com so the issue can be handled appropriately.

Security

Reasonable physical, electronic, and procedural safeguards are used to protect information processed and maintained through Brainnotes. However, no security system can guarantee complete protection against every possible breach.

Changes

This Privacy Policy may be updated from time to time. Any changes will be posted on this page. Continued use of the application after an update constitutes acceptance of the revised policy.

Your consent

By using Brainnotes, you consent to the processing of your information as described in this Privacy Policy. Processing may include collecting, storing, using, combining, and disclosing information as necessary to operate the app. For features that send your uploaded content to third-party AI services (OpenAI and Google Gemini), the app will separately request your explicit permission before any data is transmitted. You may withdraw this permission at any time through the app's settings, though doing so will disable AI-powered features.
